Print Worksheets That Actually Fit the Page

Written for teachers and teaching assistants who generate a worksheet, hit print, and get a sheet with the last column sliced off. Almost every clipping problem comes from one of four settings, and all four live in the print dialog you already have open.

A printable that looks perfect on screen can still come out of the photocopier with a missing edge, a second page containing three stray letters, or text so faint the back row cannot read it. None of that is a fault in the puzzle. It is the gap between how a browser lays out a page and how a printer actually puts ink on paper. Once you know where that gap sits, you can close it in about thirty seconds per document.

Start with the right paper size

Australia, the UK, Europe and most of the world print on A4, which is 210 by 297 millimetres. North America prints on Letter, which is 216 by 279 millimetres. Letter is slightly wider and noticeably shorter. That difference is the single most common cause of a clipped worksheet, because a layout designed to fill an A4 page has roughly 18 millimetres of extra height that a Letter printer simply cannot fit, and it spills onto a second sheet.

Check two things before you print. First, what your printer is actually loaded with. Second, what the print dialog thinks it is loaded with, which is not always the same. In Chrome and Edge the paper size sits under "More settings" in the print preview panel. In Firefox it is in the page setup section of the same dialog. If you are in an Australian school, you want A4 selected, and you want it selected every time, because a driver update can quietly reset it to Letter.

If you must print an A4 design on Letter

Set the scale to about 94 per cent rather than trying to redesign the sheet. That shrinks an A4 layout enough to clear the Letter margins with room to spare. Going the other way, a Letter design on A4 can print at 100 per cent and will simply leave a little more white space at the bottom.

Understand the unprintable margin

Nearly every office laser printer has a physical region around the edge of the sheet where it cannot place toner, usually four to six millimetres on each side. The rollers need somewhere to grip. This is separate from the margin you set in software. If your worksheet has a border box drawn right at the page edge, the printer will either clip it or, if scaling is switched on, shrink the entire page to make it fit and throw your carefully chosen font size off.

The practical rule is to keep anything you care about at least 10 millimetres from the trimmed edge, and 15 millimetres if the sheet will be hole punched or bound into a workbook. On the punch side, push it to 20 millimetres. Grid puzzles are especially unforgiving here because the outer row of cells has a border line that sits right on the boundary.

The four settings that fix most problems

Open the print dialog and work down this short list.

A worked example: a class set of word searches

Say you need 28 copies of a 15 by 15 vocabulary grid for a Year 5 class, on A4, single sided, going into workbooks.

  1. Generate the grid at 15 by 15 in the Word Search Maker and set the font large enough that a letter is comfortably readable at arm's length. For a grid this size on A4 that usually means the grid occupies about two thirds of the page height, leaving space for the word list.
  2. Print one copy first. Always one. Hold it at the back of the room and check you can read it from there.
  3. On that test print, measure the gap from the grid border to the paper edge. If it is under 10 millimetres on the left, drop the scale to 95 per cent and reprint.
  4. Once the test sheet is right, do not photocopy it. Print the master and copy from that, or better, print the run directly. Every generation of photocopying thickens lines and dulls contrast, and a third generation puzzle grid becomes genuinely hard to read.
  5. Print the answer key separately, once, for yourself. Keying it onto the back of the student sheet is a false economy.

Puzzles and bingo cards have their own quirks

Grids

A square grid printed on a rectangular page will always have more slack in one dimension. If the grid is being clipped horizontally, the fix is a smaller grid rather than a smaller font, because shrinking the font to squeeze in more columns is what makes a puzzle unreadable for younger students. Dropping from 20 by 20 to 17 by 17 costs you almost nothing pedagogically and buys a lot of legibility.

Bingo cards

Cards are often laid out two or four to a page so they can be cut apart. That layout is tight by design, so it is the most likely to break under scaling. Print one sheet, cut it, and check that a card is still square and that no cell text has been trimmed. If you are printing many sets from the Bingo Card Maker, keep them in order as they come out of the tray, because unique cards are only useful if you can tell them apart.

Mazes

Line mazes print beautifully but suffer badly from low toner. A maze with faint walls is not a harder maze, it is an unusable one. If your printer is warning about toner, run mazes last or bump the print quality setting up a notch.

Honest limits

Some things are outside your control in the print dialog. School photocopiers frequently have their own default scaling applied at the device, which can override what your laptop sent. If a sheet prints correctly at your desk and wrongly at the copier, the setting to check is on the copier panel, not in the browser. Duplex printing can also shift content by a millimetre or two on the reverse side, which matters if you are printing double sided cards that need to line up.

Saving to PDF first is the most reliable way to get a repeatable result. The PDF locks the layout, and you can then print that same file from any machine in the school and get the same output. It also means you can reprint next term without regenerating the puzzle. If you are assembling many worksheets into one booklet, produce the PDFs and combine them rather than printing each separately.

Finally, accept that a small amount of trial and error is normal the first time you set up a new printable on a new printer. After that first test sheet, write the working settings on a sticky note and stop thinking about it.
